Missing Transactions: Why Your Bank Feed Isn’t Syncing (No Error Code)

When QuickBooks Online displays an “Updated just now” message with a green checkmark, but recent bank transactions fail to appear in your “For Review” tab, the issue is usually caused by pending bank processing, active feed filters, or automated bank rules. Unlike sync disruptions that generate specific error codes, a silent sync failure means the communication pipeline is functioning, but transactions are either being diverted or withheld upstream. You can resolve missing transactions by clearing table display filters, auditing “Auto-add” rules, and confirming whether transactions have officially posted on your bank’s website.

Fast-Fix: The 45-Second Solution

To find missing bank transactions showing no error code, go to Transactions > Bank transactions and click the small Filter funnel icon above the transaction list. Reset all date and type filters to “All.” Next, check the “Categorized” tab to confirm whether an automated Bank Rule added the transactions straight to your register. Finally, verify on your bank’s portal that the missing items are fully “Posted” rather than “Pending.”

Is Your Data at Risk?

A silent sync issue carries zero risk of data destruction.

The most common concern is that transactions have been permanently lost. In reality, bank feeds act as a temporary window into cleared activity:

  • If the transactions were diverted by a rule, they are already safely stored inside your general ledger.
  • If the transactions were skipped due to a temporary API hiccup, they can be retrieved by adjusting your connection or uploading a bank statement.

Never attempt to solve missing transactions by deleting the bank account from your Chart of Accounts. Deleting an account wipes out historical reconciliations and breaks your balance sheet.

Technical Anatomy: Why Posted Data Fails to Display

When QuickBooks Online completes an automated update, it queries the financial institution’s API for records with a POSTED status within a specific date bracket.

Four distinct conditions cause transactions to go “missing” without triggering an error banner:

  1. Pending Status Filtering: Banks show credit card purchases and debits immediately on their mobile apps as “Pending.” However, banks do not assign a permanent transaction ID (FITID) until the transaction settles. The Open Banking API intentionally ignores pending items to prevent duplicate imports if an authorization amount changes.
  2. Local UI Display Filters: Users often set a filter in the “For Review” tab (such as filtering by a specific date range or searching for a vendor name) and forget to clear it. New transactions download into the background, but the active filter hides them.
  3. The “Auto-Add” Rule Pipeline: When a bank rule is saved with the “Auto-add” setting enabled, incoming transactions matching the rule criteria skip the “For Review” screen entirely and post directly to the register. The user assumes the feed is broken because nothing appears for review.
  4. API Token Session Lag: The bank’s security servers may report a successful sync (HTTP 200) without actually transferring the latest data payload. This occurs when an OAuth token is nearing expiration but has not yet triggered an explicit failure code like QuickBooks Online Error 350: How to Renew Your Bank’s OAuth Connection.

Step-by-Step Repair Guide

Step 1: Clear All Display Filters

  1. In QuickBooks Online, go to Transactions > Bank transactions.
  2. Select the tile for the affected bank account.
  3. Look directly above the transaction headers for a small Funnel icon (Filter).
  4. If the funnel has a blue dot or shows specific criteria:
    • Click the Filter button.
    • Change the Date dropdown to All.
    • Clear any text in the Search box.
    • Click Apply.
  • Click the Filter button.
  • Change the Date dropdown to All.
  • Clear any text in the Search box.
  • Click Apply.
  1. Check if your missing transactions now populate the list.

Step 2: Check the “Categorized” and “Excluded” Tabs

If display filters are clear, verify that the transactions were not automatically filed or hidden:

  1. Click the Categorized tab next to “For Review.”
  2. Sort the column by Added/Cleared Date to see what entered your books today.
  3. If your missing transactions appear here, an Auto-add Bank Rule filed them.
  4. If they are not in Categorized, click the Excluded tab to verify that another user did not accidentally exclude the batch. If found, select them and click Undo.

Step 3: Audit and Modify “Auto-Add” Rules

If transactions were filed without your knowledge:

  1. Go to Transactions > Bank rules (or Rules).
  2. Look through the list of rules for any marked with a green lightning-bolt icon (Auto-add).
  3. Click Edit on the rule.
  4. Scroll to the bottom and toggle off Auto-add to register.
  5. Click Save. This forces future matches to wait in the “For Review” tab for manual approval.

Step 4: Force a Manual Refresh Cycle

If transactions are confirmed posted on the bank’s site but remain missing in QBO:

  1. In the Bank transactions screen, click the Update button in the upper right.
  2. Wait for the loading bar to clear completely.
  3. Run this update two or three times, waiting two minutes between attempts, to force the API to query the latest settlement ledger at the bank.

Hard Stop: When to Use Manual File Imports

If transactions have been fully posted at your bank for more than 48 hours, no filters are active, and manual updates pull zero records, the API handshake between your bank and Intuit has stalled silently.

  • Do Not Wait for Support Tickets to Clear Reconciliations: Download a .QBO or .CSV file directly from your bank’s website for the missing date window.
  • Upload Manually: Select Upload from file from the dropdown next to Link account. Map the file to your existing register to immediately bridge the gap. Step-by-step formatting instructions can be found in our Manual Import Guide: How to Upload .CSV and .QBO Files to QuickBooks.

Closing the Books

A silent bank feed sync is almost always a visibility issue rather than missing data. Confirming that your transactions have moved from pending to posted at the bank, resetting review filters, and auditing your auto-add rules will usually bring your missing records back into view.
