When a transaction downloaded from your bank feed does not match an existing invoice, customer payment, or bill in QuickBooks Online (QBO), the automated matching engine fails to link the two records.
A “Match Not Found” state occurs when there is a discrepancy between the downloaded bank record and your internal accounting entry. This is usually caused by automated merchant processing fee deductions, grouped bank deposits sitting in “Payments to deposit” (Undeposited Funds), mismatched transaction dates, or minor rounding differences. Clicking “Add” instead of resolving the match creates duplicate income or duplicate expenses. To fix this, use the Find Match tool to manually link the entries, account for deducted fees, or group multiple payments using a Bank Deposit.
Fast-Fix: The 45-Second Solution
Do not click “Add.” Click the bank feed row, select “Find match,” and change the date filter to cover the past 90 days. If the invoice was paid through a payment processor that deducted a processing fee, toggle on Resolve (or Find other records) at the bottom of the match drawer, enter the processor’s fee as a negative line item mapped to your Bank Charges expense account, and match the net amount to the bank deposit.
Quick Status & Triage Snapshot
- Data Risk Tier: Moderate. Clicking “Add” instead of “Match” creates duplicate revenue or expenses and throws off your General Ledger.
- Accounting Impact: Distorts Accounts Receivable (A/R) balances, causes bank accounts to fail month-end reconciliation, and overstates gross receipts.
- Primary Causes: Merchant fee deductions, batched deposits sitting in Undeposited Funds, date range filters, or transactions already reconciled.
- Estimated Fix Time: 2 to 5 minutes per transaction.

Technical Anatomy: How QBO Matches Transactions
QuickBooks Online’s bank feed engine relies on deterministic matching logic. For the software to display a green “Match” banner automatically, the downloaded bank record and the internal transaction must satisfy four criteria:
- Exact Amount Match: The net downloaded cash figure must match the internal QBO transaction to the exact cent. A $1,000.00 invoice paid via a processor that deducts a $29.00 fee arrives at the bank as $971.00. Because $971.00 does not equal $1,000.00, the automated engine will not suggest a match.
- Account Alignment: The internal transaction or payment must be recorded against the specific bank account receiving the feed. If an invoice payment was recorded against “Cash on Hand” or a secondary checking account, the primary bank feed cannot detect it.
- Date Proximity: The automated engine looks for records created within a rolling window (typically 90 days prior to the bank cleared date). Transactions outside that window are excluded from automatic match suggestions.
- Deposit Grouping State: If multiple customer payments were received into Payments to deposit (formerly Undeposited Funds), QBO expects those items to be batched together into a single internal Bank Deposit that mirrors the lump-sum settlement from the physical bank.
Step-by-Step Repair Guide
Work through these steps in order to identify why your transaction will not match.
Step 1: Use Manual “Find Match” and Expand Date Filters
If the transaction exists in QBO but the system did not automatically detect it:
- Go to Transactions > Bank transactions.
- Click the transaction row that shows “Add.”
- Select the radio button for Find match.
- In the slide-out match window, verify the date range defaults. Change the From date to at least 90 days before the bank transaction cleared.
- Search by Customer Name or Dollar Amount.
- If the record appears, select the checkbox and click Save.
Step 2: Account for Merchant Processing Fees
When payment processors (such as Stripe, PayPal, or third-party merchant accounts) deposit net funds after deducting their processing fees:
- In the Bank transactions screen, click the transaction and select Find match.
- Locate and check the checkbox next to the open invoice or sales receipt for the gross amount.
- Scroll to the bottom of the drawer and toggle the switch labeled Resolve (or Find other records).
- Under the Resolve difference section, add an adjustment line:
- Payee: The payment processor (e.g., Stripe).
- Category: Your expense account for processing fees (e.g., Bank & Merchant Fees).
- Amount: Enter the fee as a negative number (e.g.,
29.00).
- Verify that the adjusted total now matches the bank deposit exactly down to $0.00 difference.
- Click Save.
If payments deposited through Intuit’s native processing are on hold or delayed, review QuickBooks Payments: Resolving “Deposit on Hold” Status Issues.
Step 3: Bundle Individual Payments (Undeposited Funds)
If your bank deposit represents multiple payments deposited together in a single lump sum:
- Click the + New button and select Bank Deposit.
- Under Account, select the checking account where the bank feed transaction landed. Set the date to match the deposit date.
- In the Select the payments included in this deposit section, check the box next to every individual customer payment included in that physical deposit.
- Confirm that the Total in the bottom-right corner matches the bank statement figure to the penny.
- Click Save and close.
- Return to Bank transactions. The green Match icon will now appear.
Step 4: Rule Out Already-Reconciled Transactions
A bank feed entry will never match a transaction that has already been marked as reconciled (reconciliation status R in the register):
- Navigate to Accounting > Chart of Accounts and open your bank register.
- Search for the payment or invoice.
- Check the reconciliation column (the checkmark column between Amount and Deposit).
- If the item displays an R, it was already reconciled in a prior period. If the bank feed downloaded a duplicate copy of this transaction, do not add it again. Check the bank feed item and select Exclude.
To ensure you do not inadvertently duplicate entries during bank feed maintenance, follow Fix: Update QuickBooks Bank Feeds Without Deleting Transactions.
Differential Diagnosis: Identifying the Right Bank Feed Action
| Symptom / Condition | Root Problem | Correct Action |
|---|---|---|
| No Match; single invoice paid in full | Date filter outside 90-day window or wrong bank account selected | Use Find match, expand date filter, verify payment bank account |
| Bank shows lower amount than invoice | Merchant processor deducted processing fees prior to deposit | Use Find match, turn on Resolve difference, add fee as negative |
| Bank shows higher amount than invoice | Multiple customer payments batched together by the bank | Use + New > Bank Deposit to group payments, then match |
| Transaction already added manually | Duplicate downloaded transaction | Verify register balances; select feed item and click Exclude |
| Foreign currency transaction mismatch | Exchange rate variance between sale date and settlement date | Add exchange gain/loss adjustment in match drawer |

Hard Stop: When to Stop Manual Matching
Stop troubleshooting and check underlying records if:
- The Bank Balance and In QuickBooks Balance Diverge Widely: If your register has multiple unmatched entries that span several months, continuing to match without auditing will cause reconciliation discrepancies.
- Customer Balances are Inconsistent: If invoices show as paid in customer files but open in the match screen, credits may have been misapplied. Consult Payment Applied Error: Fixing Inconsistent Customer Credit Mappings.
- The Books Are Closed: If the transaction date falls prior to an established Closing Date (configured under Account and Settings > Advanced), QBO will block adjustments without an administrator password. Do not force matches into closed periods without consulting the primary accountant.
Closing the Books
The bank feed matching engine is designed to prevent duplicate data, not create it. Never click “Add” on a bank feed transaction simply to clear your review queue if that invoice or payment already exists in your books. By expanding date filters, accounting for merchant fee deductions, and properly batching deposits through Payments to deposit, you can link your bank records cleanly and keep your reconciliation reports balanced.
