A manual file import allows you to bypass broken bank feeds, import historical data, and update QuickBooks Online using .QBO (Web Connect) or .CSV files. This workflow lets you maintain accurate, up-to-date books during API outages or when connecting accounts that do not support automated feeds. To import transactions, download your activity file directly from your bank’s website, navigate to Transactions > Bank transactions, click the dropdown arrow next to Link account, choose Upload from file, and map the data directly to your existing register.
Fast-Fix: The 45-Second Solution
To manually upload transactions, download a .QBO or .CSV file from your bank. In QuickBooks Online, go to Transactions > Bank transactions, click the arrow beside “Link account,” and select “Upload from file.” Drag and drop your file into the window, select your existing QuickBooks account from the dropdown, verify your column mappings (Date, Description, Amount), and click “Continue” to send the transactions directly to your “For Review” tab.
Quick Status & Triage Snapshot
| Diagnostic Metric | Assessment |
|---|---|
| Data Risk Tier | Low: High risk only if CSV columns are mapped incorrectly or overlapping date ranges are imported. |
| File Format Preference | .QBO First: .QBO (Web Connect) imports automatically without column mapping. Use .CSV as a fallback. |
| Multi-User Impact | None: The upload only affects the specific account register you target during the import. |
| Estimated Fix Time | 3 to 7 minutes. |
File Format Comparison: .QBO vs. .CSV
Selecting the correct file format from your bank’s download menu saves significant cleanup time:
| Feature | .QBO File (Web Connect) | .CSV File (Comma Separated) |
|---|---|---|
| Setup Required | None (Pre-formatted by Intuit standards). | Manual mapping of Date, Description, and Amount columns. |
| Sign Handling (+/-) | Handled automatically (Credits vs Debits auto-detected). | Requires user to specify 1-column or 2-column formats. |
| Duplicate Checking | Built-in duplicate detection based on bank transaction IDs. | Limited duplicate detection; depends heavily on exact dates and text. |
| Best Used For | Everyday imports, bank outages, and standard reconciliations. | Older historical data, unsupported credit unions, and custom spreadsheets. |
How to Format a .CSV File for QuickBooks Online
If your bank does not offer a .QBO export option, you must format your .CSV file before uploading to prevent import errors.
QuickBooks accepts two specific CSV structures:
Option A: The 3-Column Format (Recommended)
- Column 1: Date (
MM/DD/YYYYorYYYY-MM-DD) - Column 2: Description (Payee / Bank Detail)
- Column 3: Amount (Deposits are positive numbers; payments and expenses have a minus sign )
Option B: The 4-Column Format
- Column 1: Date
- Column 2: Description
- Column 3: Gross Expense / Debit
- Column 4: Gross Deposit / Credit
Critical CSV Clean-Up Rules:
- Remove Currency Symbols: Remove all dollar signs (
$), commas (,), and special characters from the amount fields. - Single Header Row: Ensure there is only one header row at the top (e.g.,
Date, Description, Amount). Delete any summary rows, account numbers, or bank logos at the top or bottom of the sheet. - No Zero Amounts: Delete rows showing $0.00 balances.
Step-by-Step Manual Import Guide
Step 1: Export the File from Your Bank
- Log in to your bank or credit card portal.
- Navigate to your transaction history or statements page.
- Select your custom date range (ensure the start date begins the day after your last entered transaction to prevent duplicates).

Step 2: Upload the File into QuickBooks Online
- In QuickBooks Online, go to Transactions > Bank transactions.
- In the upper-right corner, click the dropdown arrow beside the “Link account” button.

- Click Drag and drop or select files, choose the file you downloaded from your bank, and click Continue.
Step 3: Map to the Correct QuickBooks Account
- On the screen labeled QuickBooks account, select the account where you want these transactions to appear.
- Critical Rule: Map to your existing account from your Chart of Accounts. Do not create a new general ledger account unless you are introducing a completely new bank account to your company file.

- Click Continue.
Step 4: Map the Data Columns (CSV Files Only)
(Note: If you uploaded a .QBO file, QuickBooks handles this step automatically. Skip directly to Step 5.)
- First row in file: Check the box if your CSV includes column headers.
- Date field: Select the column containing your transaction dates, and match the date format (e.g.,
MM/DD/YYYY). - Description field: Select the column containing the payee or narrative details.
- Amount field:
- If your sheet uses a single column with positive and negative numbers, choose One column and select that column.
- If your sheet separates payments and deposits, choose Two columns and map the positive and negative columns accordingly.
- If your sheet uses a single column with positive and negative numbers, choose One column and select that column.
- If your sheet separates payments and deposits, choose Two columns and map the positive and negative columns accordingly.
- Click Continue.
Step 5: Review and Finalize the Import
- QuickBooks will display a preview list of all transactions contained in the file.
- Review the list to confirm that payments appear as negative amounts and deposits appear as positive amounts.
- Uncheck the box next to any transaction you do not wish to import.
- Click Continue, then click Yes to confirm the import.
- Click Done. All imported transactions will now appear in your For Review tab.

Managing Transactions in the “For Review” Tab
Once the manual upload is complete, the imported transactions sit safely in your For Review staging area:
- Matching Existing Entries: For checks, invoices, or manual payments you previously entered, QuickBooks will display a green Match button. Click Match to connect the bank record with your existing entry, preventing duplicate expenses. For help resolving matching issues, see Match Not Found: Fixing Bank Feed & Invoice Reconciliation Issues.
- Excluding Overlaps: If you accidentally uploaded dates that were already reconciled, select those transactions in the list, click Exclude, and delete them from the Excluded tab.
- If duplicate entries make it onto your balance sheet, resolve them with Duplicate Transactions: Troubleshooting QBO Bank Sync Overlaps.
Hard Stop: When to Cancel an Import
If you complete an import and discover that every expense was imported as a deposit and every deposit as an expense:
- Stop immediately. Do not add or categorize the transactions.
- Go to the For Review tab, select the master checkbox at the top left of the table to select all imported items, and click Exclude.
- Open your original
.CSVfile, fix the amount column or reverse the debit/credit column mappings, and re-run the upload process.
Closing the Books
Manual file imports give you complete control over your accounting data. Whether you use pre-structured .QBO files or custom-formatted .CSV spreadsheets, you can bypass connection drops and keep your books balanced without relying on automated feeds.
